The Utility Coordinator is responsible for managing the transition and tracking of utilities for properties managed by Kingsland. This role ensures the seamless transfer of utilities during tenant move-ins and move-outs, while maintaining accurate records and ensuring timely payments. The Utility Coordinator will also spearhead a transition to a paperless billing system and serve as the primary point of contact for utility-related queries. This position involves a mix of administrative duties, data entry, and collaboration with other departments to streamline processes.

Key Responsibilities:

  • Utility Transfers:
  • Manage the transfer of utilities (electricity, gas, water, etc.) after tenant move-out and during new client onboarding.
  • Maintain accurate and up-to-date records of all utility transfers.
  • Reconcile utility transfer records to ensure all utilities are transferred correctly and bills are received by the appropriate party.
  • Enter all utility bills into the property management software to ensure timely payments.
  • Monitor and manage utility bill records, ensuring proper billing and timely processing.
  • Oversee a project to transition to a paperless billing system, working closely with administration to develop and implement the system for recording, monitoring, and paying bills online.
  • Research and dispute any discrepancies with utility providers, resolving billing issues promptly.
  • Client and Staff Support:
  • Serve as the primary point of contact for staff and clients regarding utility and payment inquiries.
  • Assist with data entry during client onboarding, ensuring all information is accurately recorded.
  • Enter payables for management company billbacks, including lumber store accounts and other credit card purchases.
  • Support other payables entry tasks during periods of high volume.
  • Administrative Support:
  • Assist or oversee other administrative projects as assigned by the Finance Coordinator or Administrative Assistant.
  • Collaborate with the Finance Coordinator and Administrative Assistant in weekly meetings to review ongoing projects, procedures, and recommend improvements to current processes.
  • Answer incoming phone calls and assist with general inquiries as needed.

Required Skills and Qualifications:

  • Proven experience in utility management or administrative roles in property management.
  • Strong organizational skills with the ability to manage multiple tasks and maintain accurate records.
  • Proficiency in property management software and Microsoft Office (Excel, Word).
  • Excellent communication skills, both verbal and written.
  • Ability to troubleshoot billing discrepancies and resolve issues with utility providers.
  • Strong attention to detail and a proactive approach to problem-solving.
  • Experience with transitioning systems to paperless formats is a plus.
  • Ability to work independently and as part of a team.

Preferred Qualifications:

  • Experience with property management systems or platforms is preferred.
  • Knowledge of utility transfer processes and relevant regulations.
  • Familiarity with payables and billing processes within a property management context.
