As a Virtual Executive Assistant (Project Coordinator), you’ll play a key role in managing timelines, tracking action items, and ensuring all team projects are on target. With your strong organizational skills, you'll support the team in preparing reports, overseeing deadlines, and optimizing time management—all to help drive our client’s success.

Job Overview

Employment Type: Full-time, 12-month project-based contract (with potential for absorption/regularization)

Shift: Day Shift; Mon – Fri, 7:00 AM - 4:00 PM

Work Setup: Permanent WFH, work devices to be provided by the employer

The Qualifications We Seek

  • Possess at least 3 years of strong administrative experience, preferably in an EA-type role, with experience working on projects and meeting deadlines.
  • Demonstrate proficiency in project management tools such as ClickUp, MS Office Suite, Asana, or Monday.
  • Ability to manage multiple deadlines and exposure to various business areas, including HR and operations.
  • Experienced in handling incoming inquiries via phone, email, or SMS.
  • Proven track record of working on multiple projects simultaneously.
  • Exceptionally organized with a high level of attention to detail.
  • CRM experience is preferred but not required.
  • Relevant experience is valued over a formal bachelor’s degree requirement.

Your Daily Tasks

  • Reporting Preparation: Compile and prepare regular reports, ensuring accuracy and timeliness. 
  • Action Item Support: Actively monitor and follow up on action items in ClickUp, ensuring team members are on track with their responsibilities. 
  • Deadline Management: Keep the operations manager informed about upcoming deadlines, facilitating timely completion of tasks. 
  • Report Tracking: Regularly track requirements for reports and ensure all necessary data is gathered. 
  • Time Management Optimization: Organize and streamline time management processes, including financial reporting, to enhance efficiency. 
  • Administrative Support: Assist trainers in managing their schedules and administrative tasks. 
  • Resource Development: Contribute to resource development by handling various administrative duties as needed. 
  • Communication: Respond to inquiries promptly and effectively, demonstrating strong communication skills. 
  • Scheduling and Coordination: Schedule courses, and book accommodations or venues for training, ensuring all logistical aspects are covered. 
  • Follow up enquires – be the first point of contact for incoming enquiries and then follow up with potential students to book into courses  
  • Other tasks as required – this role may also work with our partner company Response Group
