Role Overview

This is a high-impact Senior Executive Assistant role designed for a seasoned professional, not a junior-level assistant. The Founder is seeking someone who can operate with autonomy, bringing proactive thinking, efficiency, and a strong focus on process improvement to every aspect of their work. You will be responsible for keeping operations running smoothly, ensuring nothing falls through the cracks, and maintaining priorities with ease. Your experience and seniority will shine in this role, as you’ll be expected to anticipate needs, optimize workflows, and act as the Founder’s trusted right hand. This is a unique opportunity to take ownership, influence processes, and deliver tangible impact in a fast-paced, results-driven environment.

Key Responsibilities

  • Manage the Founder’s email inbox - respond on their behalf, categorize emails, flag items that require attention, and ensure timely follow-ups
  • Maintain and optimize the Founder’s calendar - schedule meetings, block time for priorities, and coordinate travel arrangements
  • Support investor relations and lead management in Salesforce - log activities, manage personal leads, schedule follow-ups, and keep the Founder up to date on interactions
  • Assist with data entry and analysis for real estate underwriting models and investment decisions - input data, run calculations, and summarize findings
  • Prepare and organize real estate analysis data to support investment decisions
  • Handle administrative and compliance tasks - file annual statements, pay compliance fees, and maintain regulatory requirements
  • Organize and maintain office operations, ensuring smooth day-to-day processes
  • Develop a playbook and training materials for tasks that can be delegated
  • Proactively identify operational gaps, recommend improvements, and take ownership of solutions
  • Act as the Founder’s right hand - serve as the main point of contact, screen calls, and manage priorities with discretion and professionalism

Must-Have Qualifications

  • 5+ years of experience as an executive assistant or in a relevant executive-level administrative role, ideally supporting a CEO, founder, or business owner
  • Proactively identifies opportunities to support the executive by suggesting tools, processes, or strategies that enhance organization and efficiency.
  • Strong organizational skills with proven ability to prioritize tasks effectively
  • Proficient in Salesforce, Microsoft Office suite, and data management
  • Excellent verbal and written communication skills in English
  • Adaptable, proactive problem-solver able to work independently with minimal supervision
  • Comfortable working remotely and aligning with the Founder’s US time zone
  • High level of discretion and confidentiality when handling sensitive information
