Recruitment Coordinator
Position Overview
The Recruitment Coordinator supports the recruitment and hiring process by coordinating candidate screening, scheduling interviews, preparing offer letters, and assisting with onboarding requirements. This role partners closely with hiring managers and the Human Resources team to ensure efficient and professional hiring experience from application through onboarding.
This position also provides administrative support for onboarding activities, including tracking pre-employment requirements and assisting with the HR components of New Hire Orientation (NHO). The Talent Acquisition Coordinator serves as an initial point of contact for prospective candidates, representing the organization professionally while providing a positive first impression and high-level overview of employment opportunities.
Essential Duties
Recruiting:
· Post job openings on approved job boards and recruitment platforms as needed.
· Ensure that job descriptions are accurate and aligned with company standards.
· Evaluate candidate qualifications to ensure alignment with job description requirements before recommending for interviews or extending job offers.
· Serve as an initial point of contact for prospective candidates during initial phone screenings to assess candidate suitability
· Provide high-level information about the organization and available opportunities.
· Maintain professional communication with candidates throughout the hiring process to ensure a positive candidate experience.
· Schedule interviews between candidates and hiring teams.
· Manage interview logistics including calendar coordination, meeting links, and confirmations and ensuring necessary materials are created and/or available for interview completion.
· Provide candidates with interview details and preparation instructions.
· Prepare draft offer letters using approved templates.
· Ensure compensation, start dates, and position details align with HR and hiring manager approvals.
· Send offer letters and track candidate acceptance.
Candidate Communication:
· Serve as the primary point of contact for candidates throughout the hiring process.
· Keep candidates informed about their application status and next steps.
· Respond to candidate inquiries promptly.
Data Management and Reporting:
· Maintain and update recruitment databases and applicant tracking systems (ATS).
· Track key recruitment metrics (e.g., time to hire, candidate sources).
· Provide regular reports on recruitment progress to HR and management teams.
New Hire Orientation and Support:
· Provide administrative and logistical support for New Hire Orientation (NHO).
· Ensure required HR documentation is completed and properly maintained.
· Assist with onboarding communication and follow-up with new hires as needed
· Send out weekly survey weeks 1 to 4 after hire and track responses to share with training and program leadership
· Schedule 1:1 check with each new hire during week 3 to ensure smooth transition into their role.
Collaboration with HR team and Hiring Managers:
· Work closely with HR team and hiring managers to understand the hiring needs.
· Assist in the development of recruitment strategies and sourcing plans.
Employer Branding:
· Assist in promoting the company’s culture and values to potential candidates.
· Participate in recruitment events, career fairs, and university outreach.
Compliance and Documentation:
· Ensure that all recruitment practices comply with legal and company standards.
· Maintain confidentiality of candidate information and ensure secure handling of data.
· Perform additional duties as assigned
Experience, Skills and Qualifications
· Minimum one year experience in recruitment, human resources, supporting multiple HR or People operations functions in a deadline-driven environment.
· Strong organizational and administrative skills.
· Excellent written and verbal communication abilities.
· Ability to manage multiple tasks and meet deadlines.
· Proficiency in Microsoft 365 and office Suite (Excel, outlook, Word, PowerPoint); familiarity with SharePoint is strongly preferred.
· Strong understanding of federal, state, and local employment laws related to hiring and HR compliance.
· Excellent verbal and written communication skills, with a focus on delivering positive employee experience.
· Practical work experience using an HRIS system (Paylocity is a plus).
Education & Credentials
· Associate or bachelor's degree in human resources, Business Administration, or related field required.
Travel Requirements (If Applicable)
· This position requires travel 5% of the time. Travel may be required by foot, rail, car or plane.
Pay Rate: $26.44 an hour
Work Location & Schedule Requirements
This is a fully remote position, that will not require daily reporting to an office. You may be required to attend occasional in-person meetings depending on business needs. Travel may be required by foot, rail, car or plane. The company is headquartered in Atlanta, GA, therefore maintaining a working schedule of hours amenable to EST is required. All employees must be willing to work flexible schedules, including holidays, nights and weekends as dictated by business needs.
Physical Requirements
This job operates in a remote office environment with occasional in person interaction and meetings required. The position routinely uses standard office equipment such as computers – including virtual meeting software and various communications applications and telephones. Bending, lifting, and manipulating objects up to 25 lbs. may be occasionally required. Ability to perform computer work for 8+ hours a day in an office setting is required.
