About the Role:
We are seeking a highly motivated and experienced Project Coordinator to join our growing professional services and software as a service (SaaS) product team. In this role, you will be responsible for the successful planning, execution, and delivery of bioinformatics and/or engineering projects for our clients. You will work closely with bench scientists, bioinformaticians, engineers, and business development colleagues to ensure projects meet client expectations and are delivered on time and within budget.
Role Responsibilities:
- Receive statement of work (SOW) from the Business Development team.
- Itemize tasks and timelines to meet pre-defined project milestones via Asana or similar designated platform.
- Host internal kick-off meeting (KOM)
- Make introductions to those who have not met.
- Reiterate the timeline and completion criteria for the project.
- Identify and assign immediate next steps for each team involved.
- Host external KOM:
- Introduce BI’s delivery process.
- Review action items, completion criteria, and timelines to ensure alignment.
- Identify and assign immediate next steps for each team involved.
- Schedule and continue to host routine (typically weekly or bi-weekly) follow-up meetings wherein BI’s delivery team will present project progress.
- Prepare reports, presentations, and documentation as needed.
- Report progress against how many of the projects’ allocated hours have been used.
- Oversee and manage the setup of cloud or on-premises infrastructure access for delivery team members (bioinformaticians and engineers) to ensure seamless project execution.
- Facilitate the access process, ensuring that all necessary permissions, credentials, and security protocols are followed, whether accessing Bridge Informatics infrastructure, client infrastructure, or on-premises servers.
- Collaborate with engineering and/or IT colleagues to ensure delivery team members have the tools and training they need to access and transfer data to/from the client or the appropriate infrastructure.
- Establish strong relationships with clients. Maintain communication throughout the project with high emotional intelligence.
- Facilitate written communication, ensuring all stakeholders are informed and aligned on project progress
- Meet with delivery team members weekly.
- Regularly evaluate the technical feasibility of ongoing projects and take steps to ensure they remain on track.
- Provide guidance on resource allocation, ensuring that the project is delivered on time and within the agreed budget.
- Oversee project delivery team members are entering their hours into time tracking software.
- Delegate the specific number of hours each member has for respective tasks.
- Ensure delivery team members have only billed for allocated hours each month. Verify the accuracy of hours logged by contractors and ensure descriptions are appropriately detailed.
- Identify project risks and develop mitigation strategies in partnership with the Head of BD to proactively address challenges and keep projects on track.
- Ensure project deliverables meet client specifications according to the SOW.
- Facilitate communication between BI’s Accounts Payable (AP) and that of our clients to ensure that invoices are paid in a timely manner
- Identify opportunities to continue working with clients
- Evaluate potential projects based on technical feasibility, impact, and alignment with organizational goals.
- Communicate these opportunities to the Head of Business Development.
- Contribute to the development and continuous improvement of project management processes to better align with the needs of a growing startup.
- Collaborate with the BD team and other internal stakeholders to identify improvements to the project workflow and client communication.
Qualifications:
- Minimum 1 year of experience in project coordination, preferably in the bioinformatics or life sciences industry
- Proven experience in managing complex technical projects on time and within budget
- Excellent communication, collaboration, and interpersonal skills
- Ability to manage multiple priorities and work effectively in a fast-paced environment
- Proficiency in project management tools (e.g., MS Project, Jira, Asana)
- Strong analytical and problem-solving skills
- Ability to work in a fast paced virtual environment
- Experience in the pharmaceutical or healthcare industry (a plus)
