About the Role:We are seeking a highly organised and proactive MLS Coordinator to manage and oversee the MLS approval process, ensuring a compliant, seamless integration and a smooth experience for our clients. This role requires excellent communication, organisational skills, and the ability to manage multiple priorities efficiently.The MLS Coordinator will be responsible for overseeing MLS compliance approvals, guiding internal teams toward timely and accurate execution. This includes monitoring approval pipelines, managing client relationships, and ensuring all MLS-related tasks are handled with precision and completed on schedule. Success in this role is defined by strong foresight, operational excellence, responsiveness, fast approval turnaround times, and the ability to identify the most efficient path forward for both clients and internal stakeholders.

Key Responsibilities:

  • MLS Compliance & Audit Management: Oversee MLS compliance approvals, ensure all submissions meet standards, and proactively prepare documentation to support fast, successful approvals.
  • Approval Pipeline Monitoring: Track, manage, and follow up on all MLS approval requests to ensure timely progress and on-schedule completion.
  • MLS Relationship Management: Foster and maintain strong, positive relationships with MLS organizations, serving as the point of contact for compliance-related communication.
  • Client Communication & Support: Provide proactive, clear updates to clients, anticipate their needs, and guide them through the most efficient path to approval.
  • Cross-Team Coordination: Work closely with internal teams to ensure MLS requirements are understood, expectations are aligned, and tasks are executed accurately and on time.
  • Process Creation & Optimization: Develop new processes, refine existing workflows, and identify bottlenecks to improve speed, accuracy, and overall efficiency.
  • Documentation Management: Maintain accurate records for all MLS submissions, approvals, audits, and communication to ensure full visibility and compliance across the organization.
  • Issue Resolution: Anticipate potential challenges early, address and troubleshoot emerging issues proactively, and escalate concerns before they develop into larger problems.
  • Team Leadership: Rotate in leading MLS team meetings, review active issues, and provide clear direction, guidance, and support to ensure smooth MLS operations.
  • Performance Tracking: Monitor key performance indicators such as approval turnaround time, responsiveness, compliance accuracy, and client satisfaction.
