Medical Receptionist VA


This is a remote position.

SHIFT TIMES:

Monday to Friday - 10AM to 4:30PM Philippine time

Break: 12:30PM to 1PM Philippine time

Saturday - 6AM to 5PM Philippine time

Breaks: 10AM to 10:30AM and 1PM to 1:30PM Philippine time

An exciting opportunity to work with a dynamic Australian healthcare business as a proactive, detail-oriented, and highly organised Virtual Assistant (VA). This role supports the Managing Director and senior Virtual Assistants in delivering seamless administrative operations for a telehealth medical clinic.

The successful candidate will have strong communication skills, be tech-savvy, and demonstrate initiative in carrying out tasks related to client coordination, data entry, and workflow management. You will have a solid grasp of handling sensitive information, multitasking in a fast-paced environment, and ensuring accuracy across documentation.

You will be responsible for the following:

Telehealth Junior VA Tasks

  • Check new patient medical file + form completed with all info + ready for phone consult
  • Call, text, email patient to email missing info from form, MEDICARE + IHI validated
  • Access to or application for my health record
  • Screenshot + add to file
  • Check for any risks listed on the form
  • Add a note about risk in the electronic medical file using autofill automated messages
  • Add extra limited info if needed
  • Add a reminder to the diary with info noted for the senior VA to manage, eg an ineligible refund
  • Reply to Gmail using template messages
  • Reply to a specific message, eg, what date is the next new telehealth consult
  • Explain how to pay and book online website for consults
  • Explain how to use the patient portal + upload scripts or email to the pharmacy app, phone, etc
  • Explain how to find 400+ pharmacies + call to order, collect or ship medicines
  • Organise managing director phone + dinner meetings via email
  • Call, text, email patients who do not answer the call for a phone appointment, check the number is correct, note in the diary, ready, or DNA add a note if DNA uses autofill

Administration & Support

  • Act as a central point of contact for communications to the Managing Director
  • Manage calendars, emails, calls, diary notes, and virtual appointments
  • Prepare and process documentation, proposals, contracts, and reports using templates
  • Perform CRM management, database collection, data entry, and sales pipeline updates
  • Update client file notes, contracts, terms, and email communications
  • Draft legal and compliance documents and general correspondence from templates
  • Support basic bookkeeping and financial admin where required
  • Maintain up-to-date records in client file management systems
  • Perform general administrative duties as needed

Requirements

  • Degree qualified (+)
  • Minimum of 2 years of relevant experience
  • A receptionist or Medical Receptionist background is highly desirable
  • Excellent communication skills, both verbal and written
  • Proactive, results-driven, and efficient
  • Highly organised and process-oriented
  • Experience in data entry, document creation, and general admin within a related industry (+)
    • Microsoft Office (Word, Excel, and PowerPoint)
  • Experience in using various software, including:
    • CRM, Softphone, HubSpot
  • Strong task and time management skills
  • Excellent customer service skills
  • Great attention to detail
Work Environment & Expectations

While this is a work-from-home position, it is important to note that this is a full-time role—not a freelance or flexible-hour arrangement. You will be expected to work a fixed shift and maintain a high level of professionalism and accountability, just as you would in an office environment.

Payroll is processed bi-monthly.

Benefits 5. HMO Offered after 6-month probation

  • Monthly Salary: PHP 35,000
  • Salary will be paid on a bi-monthly basis on the 15th and 30th or 31st of each month
  • You will be paid extra for overtime and Philippines public holidays
  • Probation: 6 months and after Probation
  • 10 days annual leave credits
  • 5 days of sick leave
  • 13th Month Pay after 30 days
