About the Role

As a Medical Admin VA (Virtual Medical Receptionist), you will manage the full patient journey for both in-clinic and Telehealth consultations. This role plays a critical part in ensuring seamless communication, accurate scheduling, and compliant billing across all service types. You will support clinicians by keeping daily operations organised across both physical and virtual environments while delivering a high standard of patient care.

Ideal Candidate (Must Have Requirements)

  • Minimum of 2–3 years’ experience as a Medical Receptionist or Medical Administrator
  • Strong working knowledge of medical billing processes (Medicare, private billing, or equivalent healthcare systems)
  • Solid exposure with Australian Medicare claims processing
  • Experience in processing patient payments, claims, and rebates
  • Proficiency with at least one Practice Management or EHR System
  • Comfortable using digital communication tools (phone systems, email, live chat, messaging apps)
  • Familiar with Telehealth platforms and virtual appointment workflows
  • Excellent verbal and written communication skills with a professional and empathetic approach
  • Strong attention to detail and ability to handle high-volume patient interactions
  • Strong understanding of data privacy and patient confidentiality
  • Open to WFH


Preferred (Nice to Have)

  • Prior experience working in an Australian medical setting (GP, Specialist, or Allied Health)
  • Experience with Best Practice, MedicalDirector, or Zedmed
  • Exposure to DVA claims and Telehealth item numbers


Tasks and Responsibilities

  • Manage high-volume patient communication via phone, live chat, email, and messaging apps
  • Schedule and coordinate both in-clinic and Telehealth appointments
  • Process Medicare, DVA, and private health claims, including bulk and private billing
  • Handle secure virtual payments and issue receipts
  • Maintain accurate patient records in the EHR system
  • Ensure strict compliance with privacy and confidentiality regulations
  • Provide virtual check-in and basic Telehealth technical support to patients
