Estate Planning File Review Specialist


Position Overview

We are seeking a highly detail-oriented and organized Estate Planning File Review Specialist to oversee the accuracy, completeness, and consistency of estate planning files prior to attorney review and client signing. This role plays a critical part in risk management, ensuring that trust documents, deeds, and supporting materials accurately reflect client instructions and meet internal compliance standards.

The ideal candidate has experience reviewing estate planning documents, strong analytical skills, and the ability to confidently conduct structured client review meetings via Zoom.


Key ResponsibilitiesPhase 1: Internal File Verification

(Completed prior to attorney meeting with client)

Property Review
  • Confirm all property addresses match the property profile exactly
  • Verify mailing addresses on all deeds
  • Confirm vesting is accurate and consistent with intake information
  • Ensure the trust name and trust date on deeds match the trust documents exactly
Client & Family Name Verification
  • Obtain and review government-issued IDs for all clients
  • Verify correct spelling of:
  • Client names
  • Children’s names
  • Trustee names
  • Confirm name consistency across:
  • Intake forms
  • Trust documents
  • Deeds
Trustee Review
  • Review trustee selections on intake forms
  • Confirm trustee designations match trust documents exactly
  • Verify successor trustee designations are correctly reflected
Beneficiaries & Distributions
  • Confirm all beneficiaries are:
  • Correctly listed
  • Properly categorized (primary, contingent, etc.)
  • Review specific gifts and confirm inclusion in the trust
  • Verify distribution language aligns precisely with the client’s instructions
Liability Protection / Client Acknowledgment Documents (CYA)
  • Confirm all required Liability Protection / Client Acknowledgment (CYA) documents are included in the file
  • Carefully review each CYA document for:
  • Accuracy
  • Completeness
  • Consistency with the trust and client instructions
  • Draft additional CYA documents when necessary to properly document disclosures, client decisions, and instructions
Phase 2: Client Review Meeting (Zoom)Pre-Meeting Confirmation
  • Confirm whether the client has watched the required educational video
  • If not:
  • Play the video during the meeting, or
  • Reschedule the review until it has been watched (preferred)
Document Review with Client

Review documents in the following order:

  1. Trust Overview
  • Name of the trust
  • Client names
  • Trustees
  • Beneficiaries
  • Specific gifts
  • Distribution provisions
  1. Deeds
  • Review all deeds with the client
  • Confirm understanding and accuracy
  1. Remember to review the Liability Protection / Client Acknowledgment (CYA) Documents
  • Review all CYA documents
Client Questions
  • Ask the client directly whether they have any questions about the documents
  • Address concerns clearly and document responses when necessary
Changes & Revisions
  • Identify any requested changes
  • Make revisions as required
  • Flag the file for paralegal review when appropriate
  • Exercise professional discretion in determining readiness for signing
Signing & Billing Coordination
  • Explain next steps for signing
  • Review payment options:
  • Check
  • Cashier’s check
  • Zelle
  • Cash
  • Status Outcomes
  • No changes required → File cleared for signing
  • Changes required → Determine need for paralegal review prior to signing
Qualifications
  • Experience legal document review preferred
  • Exceptional attention to detail
  • Administrative experience
  • Strong written and verbal communication skills
  • Comfortable leading structured client meetings via Zoom
  • Ability to exercise sound judgment and discretion
  • Highly organized and process-driven
