HR & Admin Officer
Location: New-York, United States (Remote)
Base salary range: $80,000 – $95,000 per year (depending on experience and location)
Variable pay: $10,000 per year (based on meeting goals)

We are seeking a proactive and service-oriented HR & Administration Officer to support our US-based employees.
This role serves as the first point of contact for HR and administrative matters, ensuring smooth day-to-day operations and compliance with local employment practices.
🛠 The position
The position is hands-on and operational, with a strong focus on employee support, coordination with internal teams, and collaboration with external partners.
HR Operations & Employee Support
- Act as the first point of contact for US employees on HR-related topics (benefits, leaves, payroll inquiries, reimbursements, policies)
- Support onboarding and offboarding processes (contracts, documentation, coordination with IT and payroll)
- Maintain accurate employee data in HR systems in coordination with the Global HR team
- Ensure compliance with US employment practices and internal HR policies; escalate issues when necessary
- Prepare and maintain HR documentation for audits and internal reviews
Administration & Office Support
- Manage local administrative tasks, including:
- Handling physical mail and deliveries
- Coordinating office services, storage, and equipment
- Supporting IT equipment logistics in coordination with IT teams
- Act as the local point of contact for administrative matters in the US
- Ensure proper documentation, filing, and follow-up of administrative requests
Vendor & Partner Coordination
- Coordinate with external vendors and partners (PEO, payroll providers, benefits providers, insurers)
- Monitor service delivery, escalate issues, and ensure timely resolution
- Support invoice verification and administrative follow-up in coordination with Finance
Talent Acquisition & Recruitment Support (US)
- Support end-to-end recruitment processes for US-based roles
- Draft and post job advertisements on relevant platforms
- Source candidates (LinkedIn, job boards, referrals)
- Conduct initial candidate screening (CV review and HR interviews)
- Coordinate interview processes (scheduling, communication, feedback collection)
- Support offer preparation and hiring documentation
- Maintain accurate recruitment data in ATS/HRIS systems
HR Process Support & Continuous Improvement
- Implement global HR processes at the local level
- Identify recurring issues and suggest practical improvements
- Contribute to HR and Talent Acquisition projects impacting US employees

🎯 Your profile
What you bring:
- 2–5 years of experience in HR, administration, or operations in the US
- Solid understanding of US HR practices and employee lifecycle
- Strong organizational skills and attention to detail
- A proactive, hands-on, and solution-oriented mindset
- Excellent communication skills and a strong service mindset
- Experience with HRIS / ATS tools
Nice to have:
- Experience working with a PEO
- Exposure to an international or fast-growing environment
