Primary Location: Remote 

Hours of Operation: 12:00pm – 4:00pm Central Time, Monday through Friday (core availability aligned with Hawaii Standard Time) 

 

Job Summary 

The Executive Coordinator at Fight Colorectal Cancer (Fight CRC) provides essential administrative, planning, and logistical support to the Executive Director and executive leadership. This individual ensures a high standard of communication, documentation, and coordination across executive-level activities including strategic planning, board engagement, meeting facilitation, and cross-departmental collaboration. 

 

This role requires excellent organizational and interpersonal skills, attention to detail, and the ability to manage multiple priorities in a fast-paced virtual environment. The ideal candidate will be proactive, adaptable, and committed to supporting Fight CRC’s mission with discretion and professionalism. 

 

Education and Experience 

  • Bachelor’s degree or pursuing a degree in business, nonprofit management, communications, or a related field preferred; equivalent work experience accepted. 
  • Minimum of 3
  • years of experience in administrative, operations, or executive support roles, preferably in a nonprofit or remote setting. 

 

Skills and Knowledge 

  • Project Coordination Experience: Prior experience supporting projects, ideally in nonprofit or philanthropic settings. 
  • Organized and Detail-Oriented: Strong administrative skills with the ability to manage multiple priorities and track tasks to completion. 
  • Independent and Proactive: Self-starter who takes initiative to execute leadership vision. 
  • Tech Proficiency: Skilled in Microsoft Office Suite, Microsoft Planner (or similar project management tools), and virtual collaboration platforms (e.g., Teams). 
  • Strong Communicator: Excellent written and verbal communication skills; able to take accurate meeting notes and ensure effective follow-through. 
  • Design and Visual Tools: Competent in Canva with basic design capabilities. 
  • Team-Oriented and Professional: Flexible, solutions-focused, and able to adapt to shifting priorities with a positive, professional demeanor. 
  • Governance Knowledge Preferred: Familiarity with board governance and executive-level workflows is a plus. 

 

Primary Job Duties 

Meeting Coordination and Executive Support 

  • Prepare agendas and take comprehensive notes for internal and executive-level meetings. 
  • Distribute post-meeting summaries and assign and track follow-up tasks. 
  • Support calendar coordination, internal scheduling, and travel logistics as needed. 
  • Serve as a central point of communication for executive team correspondence. 

Strategic and Board Planning 

  • Support the Executive Director and leadership team in planning and coordinating
  • strategy sessions, planning retreats, and annual board meetings. 
  • Ensure executive-level documentation is properly maintained and accessible. 

Event and Project Logistics 

  • Help coordinate logistics for strategic events and leadership retreats. 
  • Support cross-departmental workflows to ensure alignment and follow-through. 

Internal Systems and Documentation 

  • Manage documentation, internal correspondence, and executive-level systems for planning and performance tracking. 
  • Maintain and improve templates and administrative tools to streamline processes. 

Additional Duties 

  • Perform additional tasks as assigned by the Executive Director to support executive leadership and operations.
