Executive Assistant, Project Manager


This isn't your typical assistant role where you're doing the same tasks on repeat. We're looking for someone who thrives on variety, problem-solving, and taking on new challenges across multiple businesses daily. You'll be the right hand to an entrepreneur who owns three distinct companies:

  • Aigh-end residential and commercial construction firm in NYC.
  • A multi-location psychotherapy group practice.
  • A remote staffing company placing high functioning near shore workers with US business'.


Primary Focus: Systems, Automation & AI Integration

Your core mission is to transform how these businesses operate through technology, while also providing critical operational support.

Innovation & AI Research (10% of time)

  • Dedicate one half day per week to strategic research on AI, emerging technologies and data scraping of competitors.
  • Identify tactical applications and automation opportunities across all three businesses.
  • Test and implement AI tools that improve efficiency and scalability.
  • Research industry-specific AI applications (construction tech, healthcare tech, HR tech).
  • Deliver weekly highlights report with actionable recommendations and implementation plans.

Strategic Reporting & Business Intelligence

  • Design and build comprehensive KPI tracking systems across all three businesses.
  • Collect data from stakeholders at each company.
  • Create automated dashboards and weekly executive reports.
  • Track pipeline, lead conversion, financials, project profitability, and operational metrics.
  • Make data accessible and actionable for decision-making.

Proposal Development & Management (Construction Firm)

  • Coordinate with subcontractors to gather pricing and proposals.
  • Build client proposals and improve templates as needed.
  • Identify opportunities to automate or streamline the proposal process.

Financial Tracking & Cost Control (Construction Firm)

  • Build sophisticated project financial tracking systems.
  • Automate monitoring of subcontractor costs, client payments, and material expenses.
  • Create real-time profit visibility dashboards for each project.

Business Development & Lead Generation

  • Use LinkedIn Sales Navigator and other tools for outreach campaigns.
  • Build and manage prospect lists across all three businesses.
  • Design and implement automated lead nurturing systems.
  • Track and optimize conversion metrics.

Additional Responsibilities

Project Communication & Coordination (Urban Standard)

  • Handle client communication via email and phone.
  • Manage procurement of insurance certificates and building submissions.
  • Serve as operational point of contact during projects.

Networking & Outreach

  • Attend weekly Zoom networking meetings.
  • Develop scalable outreach strategies for each business.

Future Opportunities (Based on Your Strengths)

Depending on your skill set and interests, you may also support:

  • Psychotherapy practice administrative functions supporting the Clinical Care Coordinator.
  • Remove staffing firm client management and coordination supporting the Director of Business Development.
  • Personal assistant duties for the owner as needed.

Bonus Points:

  • Experience implementing AI tools in business settings.
  • Background in operations, project management, or business intelligence.
  • Background working with general contractors, architects and/or interior designers in the US, ideally in New York City.
  • Experience with CRM systems, project management tools, and data visualization platforms.
  • Coding or no-code automation experience (Zapier, Make, etc.).


What We Offer

Compensation: $1,400/month during 90-day trial period

After successful trial:

Commission and bonus compensation structure added

$100/month annual raises
