Executive Assistant - Mid Level


The Role

We are seeking a smart, adaptable, and reliable Executive Assistant to support the Managing Director. This is not a traditional, highly structured EA role – the environment is dynamic and entrepreneurial, and you’ll need to be confident, quick to adapt, and comfortable with ambiguity. You'll be expected to take initiative, juggle multiple priorities, and find solutions on the fly.


This role is ideal for someone with 1–3 years’ experience who is looking to step into a fast-paced support role with high exposure to senior leadership. We’re looking for someone who is highly coachable, eager to grow, and confident using AI tools to streamline workflows, improve productivity, and help build scalable systems.


About the Client

Our client is a private advisory firm that partners with family offices, fund managers, and founders. They specialize in raising capital, refining investor positioning, and connecting clients to a global investor network. Their work sits at the intersection of strategy, capital, and execution. (Client name withheld for confidentiality.)


What You’ll Do

  • Provide daily administrative and operational support to the Managing Director
  • Manage inbox, communications, and calendar across multiple time zones
  • Organise investor, client, and internal meetings including prep and follow-ups
  • Use AI tools to draft communications, manage to-do lists, and summarise meetings
  • Assist in creating pitch decks, research briefs, and internal documents
  • Track key projects and deadlines, and ensure smooth delivery of tasks
  • Build and improve workflows and internal systems
  • Handle ad-hoc tasks and confidential matters with discretion


Who We’re Looking For

  • 1–3 years’ experience in an Executive Assistant, Team Assistant, or Business Support role
  • Excellent English communication skills – both written and verbal (must-have)
  • Quick thinker with strong initiative and sound judgment
  • Problem solver who thrives in less structured environments
  • Confident, highly adaptable, and comfortable with change
  • Coachable and eager to grow professionally
  • Strong organisational skills and attention to detail
  • Technically savvy and proficient with AI tools
  • Able to work independently in a remote setup and across international time zones


Desirable

  • Exposure to startups, investor relations, or consulting environments
  • Familiarity with productivity and workflow tools
  • Experience creating professional documents and presentations
