This Executive Assistant role provides high-level administrative support to three VPs in the Legal department, managing complex calendars, meetings, travel, and expenses across global time zones. The ideal candidate will be highly detail-oriented, proactive, and able to multitask effectively in a fast-paced environment.

Requirements & Skills

  • 3 year Executive Assistant experience with Executives / VP level.
  • Able to support multiple Executives at the same time (this position will support 3 VPs)
  • Very detailed oriented/humble/proactive
  • Bachelor degree
  • 3-5 years as an executive assistant to VP level executives.

Job Function:

  • Providing 3 VPs in the Legal department with administrative support ( two VPs are based in California, one is based in Germany)
  • Occasionally assisting with Travel Arrangements such as flight & hotel bookings
  • Occasionally assisting with Signature Requests

The Executive Assistant may handle a wide variety of administrative tasks including:

Calendar Management

  • Careful and detailed planning for the year ahead
  • Proactively managing conflicts and multiple calendars
  • Gatekeeper, ensuring the executives ease of day by managing back-to-back meetings and setting aside work/focus time

Expense Reports

  • Managing expenses via Concur and submitting them for approval by the deadline

Meeting Planning

  • Planning and coordination of meetings and offsites, including preparing the agenda
  • Coordination with the facilitator, speakers, internal teams and external vendors

Team Administration

  • Maintain email aliases and distribution lists
  • Admin for MS Teams site, Wiki pages, etc
