Role

This is a full-time remote role for an Executive Assistant to the CEO.

This role is focused on reducing the CEO’s administrative and operational load, ensuring that reporting, coordination, and day-to-day execution run smoothly.


The Executive Assistant will:

  • Manage administrative workflows and executive support tasks
  • Own recurring reporting (KPIs, OKRs tracking, investor updates)
  • Coordinate across teams to ensure priorities are executed and deadlines are met
  • Build and maintain systems, dashboards, and automations to improve efficiency


This is a high-responsibility execution role. The ideal candidate is highly organized, detail-oriented, and proactive in keeping the company running smoothly behind the scenes.


Key responsabilities


Executive and admin support

  • Manage calendar, scheduling, and prioritization of meetings
  • Handle payments, expenses, and administrative processes
  • Support event and conference logistics (travel, coordination, follow-ups)
  • Assist with day-to-day executive requests and ad hoc tasks


Reporting and tracking

  • Maintain and update KPI dashboards and company metrics
  • Track OKRs and ensure regular updates across teams
  • Prepare weekly task summaries and reports for the CEO
  • Draft and compile investor updates


Operations and coordination

  • Coordinate cross-functional tasks and follow up with teams
  • Track action items and ensure deadlines are met
  • Support special projects led by the CEO
  • Handle urgent issues and operational gaps as they arise


Finance, legal compliance

  • Track contracts (vendors, employees, partners)
  • Assist with cap table updates (in coordination with finance/legal)
  • Monitor compliance deadlines (taxes, filings, visas if applicable)


Processes

  • Build and maintain internal processes and documentation
  • Set up and manage automations (e.g. Zapier)
  • Ensure data accuracy across tools


Qualifications

  • Bachelor’s or Maser's degree or equivalent practical experience in Business, Operations, Communications, or a related field
  • 2–5+ years of experience in Executive Assistant, Chief of Staff, Operations, or similar roles
  • Excellent written and verbal communication skills in English
  • Strong organizational and execution skills with attention to detail
  • Experience with reporting, dashboards, or data tracking (KPIs, OKRs, etc.)
  • Comfortable working with tools like Notion, Google Sheets, Zapier, CRMs, etc.
  • Ability to manage multiple priorities and follow through independently
  • Proactive, reliable, and responsive in a fast-paced environment
