About the Role
We are seeking a highly experienced and proactive Executive Assistant to support the CEO of a recruitment company based in Romania. This role is ideal for a senior professional with a background in recruitment or services, who is eager to work remotely from Ghana. The successful candidate will be responsible for providing high-level administrative support while demonstrating initiative, problem-solving skills, and excellent communication abilities.
Key Responsibilities
• Administrative Support:
Manage the CEO’s calendar, schedule meetings, organize travel arrangements, and handle all correspondence with precision and professionalism.
• Communication:
Serve as the primary point of contact between the CEO and internal/external stakeholders, ensuring clear, prompt, and effective communication.
• Document Management:
Prepare, proofread, and distribute internal documents, reports, and presentations. Maintain and organize digital files and records.
• Project Coordination:
Assist in coordinating special projects, ensuring tasks are executed efficiently and deadlines are met. Provide support in tracking project progress and follow-ups.
• Decision-Making & Problem Solving:
Use initiative to improvise and make decisions when required, demonstrating a capacity to work independently with minimal supervision.
• CRM & Software Utilization:
Leverage CRM systems, Microsoft Office Suite, and advanced language models (LLMs) to streamline operations and improve workflow processes.
• Process Improvement:
Proactively identify areas for improvement in administrative processes and propose innovative solutions to enhance efficiency.
Required Skills and Qualifications
Experience:
Senior-level professional experience as an Executive Assistant or in a similar role, preferably within the recruitment or services industry.
Educational Background:
Relevant education in fields such as Psychology, Marketing, or relevant disciplines is preferred.
Technical Proficiency:
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Experienced with CRM systems.
• Comfortable working with advanced tools, including large language models (LLMs).
• Strong overall computer literacy.
• Communication:
Exceptional written and verbal communication skills in English. Ability to interact confidently with diverse stakeholders.
