About The Company

Our clinet is a fintech startup building the operating system for high-scale commerce. The founder currently runs

product, deals, partnerships, merchant relationships, and engineering direction — all while managing a constant

stream of emails, meetings, Slack messages, and scheduling. Something has to give. That’s where you come in.

The Role

You are the founder’s right hand. You manage his calendar, triage his email, schedule meetings with merchants

and partners, prepare meeting briefs, take notes, track action items, and handle the admin work that eats 2-3

hours of his day. You’re not just booking meetings — you’re making sure the founder’s time goes to the highest-

value activities.

This is a permanent role that reports directly to the founder — not a temp gig that transfers to someone else.

What You’ll Do Every Day

  • Calendar management. Schedule meetings with merchants, processor partners, engineering, and

candidates. Prevent double-bookings. Block focus time. Reschedule when conflicts arise. Use Google

Calendar and Calendly.

  • Email management. Triage the founder’s inbox. Flag urgent items.

Draft responses for routine emails. Archive noise. Ensure nothing important gets buried.

  • Meeting prep. Before every merchant or partner call, prepare a 2-3 line brief: who they are, what they

need, where they stand in the pipeline, any open issues. Pull from Attio CRM and Slack history.

  • Meeting follow-ups. After calls, send recap emails or Slack messages with action items. Track that

action items get done.

  • Slack management. Monitor the founder’s DMs and mentions. Flag anything that needs a response.

Draft responses for routine questions.

  • Hiring pipeline support. Schedule candidate interviews, send calendar invites, coordinate take-home

test delivery, collect submissions, and keep the hiring tracker updated.

  • Document management. Organize Google Drive folders, maintain Notion pages, keep the knowledge

base and SOPs current as processes change.

  • Contract and invoice coordination. Ensure DocuSign contracts are sent to new merchants. Track

which contracts are signed vs. pending. Coordinate with the CPA on invoicing.

  • Travel and logistics. Book flights, hotels, conference registrations (Money20/20, etc.) when needed.
  • General admin. Whatever needs doing that doesn’t fit neatly into another role. You’re the catch-all that

keeps the founder effective.

What We’re Looking For

  • Anticipates needs. You don’t wait to be told. You see a meeting on the calendar and prepare the brief

before being asked. You notice an unanswered email and flag it.

  • Excellent written English. You’ll draft emails to processors, merchants, and partners on behalf of the

founder. Your writing needs to sound professional and natural.

  • Highly organized. You manage multiple calendars, inboxes, and trackers without dropping anything.
  • Discretion. You’ll have access to sensitive business information — financials, contracts, credentials.

Confidentiality is non-negotiable.

  • Tech-savvy. Fluent in Google Workspace (Gmail, Calendar, Drive, Docs), Slack, Notion, Calendly, and

willing to learn Attio and DocuSign.

  • Available during US Eastern business hours (9 AM - 6 PM EST). Some flexibility for late calls with

international partners.

  • Previous EA or chief of staff experience is a strong plus — especially for a founder or C-level

executive at a startup.
