Oxigen Business Group is a fitness consulting company specialising in growth strategy and CRM-driven marketing systems for fitness studios. We support 30+ client accounts with structured email and SMS marketing campaigns designed to drive leads, conversions, retention, and revenue.

Our marketing systems, workflows, and campaign strategies are already built. We are now looking for a highly detail-oriented CRM & Marketing Operations Coordinator to manage campaign execution and support marketing operations at scale.


Role Overview

This is an execution-focused role responsible for deploying, personalizing, scheduling, and reporting on email and SMS campaigns across multiple client accounts.

In addition to campaign deployment, this role supports broader marketing operations, CRM hygiene, reporting, and internal marketing initiatives during non-campaign periods.

This position is critical in removing operational bottlenecks, ensuring campaign accuracy, and supporting the scalable growth of Oxigen Business Group.


Role Breakdown

70% – Client Campaign Deployment & CRM Execution

30% – Marketing Operations & Internal Support


Key Responsibilities

1. Campaign Personalisation & Deployment (Primary Responsibility)

  • Copy master campaign templates into client CRM accounts
  • Update client-specific details (offers, dates, pricing, studio details, branding elements)
  • Personalize subject lines, headers, and merge fields
  • Perform thorough QA checks before scheduling
  • Schedule and send email and SMS campaigns
  • Ensure campaigns align with the master marketing calendar
  • Monitor execution timelines across 30+ accounts
  • Accuracy and attention to detail are critical in this function.


2. CRM Management & Data Integrity

  • Navigate existing workflows and understand client sales journeys
  • Ensure campaigns integrate properly within active automations
  • Maintain list segmentation integrity
  • Audit tags and automation triggers for consistency
  • Support database hygiene (inactive contacts, duplicates, SMS consent compliance)


3. Reporting & Performance Tracking

  • Pull campaign metrics (open rates, CTR, conversions, SMS metrics)
  • Compile weekly or monthly campaign performance reports
  • Maintain reporting dashboards or tracking sheets
  • Flag anomalies or performance inconsistencies to leadership
  • Assist in identifying engagement trends across campaigns


4. Client Communication Support

  • Send campaign confirmations to clients
  • Communicate execution updates when required
  • Escalate strategic or performance-related questions to the Head Consultant


5. Marketing Operations & Internal Support (Between Campaign Cycles)

  • Assist with Oxigen’s internal email campaigns
  • Format and schedule newsletters
  • Prepare CRM templates for upcoming campaigns
  • Organize and maintain master template libraries
  • Standardize campaign naming conventions and documentation
  • Support new client CRM setup preparation
  • Maintain SOP documentation and campaign checklists
  • This portion of the role ensures continuous operational improvement and scalability.

Required Skills & Experience

  • 2+ years experience working inside a CRM platform
  • Experience managing multiple client accounts simultaneously
  • Strong understanding of email and SMS marketing fundamentals
  • High attention to detail and strong QA discipline
  • Comfortable working with spreadsheets and performance data
  • Strong time management and deadline execution
  • Ability to follow structured SOPs and systems


Preferred Experience

  • Experience in the fitness industry or studio marketing
  • Familiarity with Mindbody or fitness-related CRM ecosystems
  • Experience working within a marketing agency environment
  • Understanding of sales funnels and lifecycle marketing (execution level)
