Job Description

The Healthcare Program Manager will be responsible for the management and coordination of our mental health program. This position will also oversee administrative duties by way of facilitating the company’s administrative workflows including scheduling, client communications/correspondences, client recruitment and retention effort and providing customer service and quality improvement initiatives whenever necessary. The ideal candidate must be able to manage and organize a wide range of administrative tasks, communicate efficiently, work well in a dynamic environment with changing priorities and has a great attitude towards supporting others. This position reports to the Healthcare Director.


Responsibilities Include, But Are Not Limited To

  • Management of various inboxes, calendars, contacts, etc.
  • Extensive Scheduling of meetings and appointments
  • Manage, maintain, develop clinical administrative materials including marketing collateral, SOPs, assets, etc
  • Manage retention or current clients and recruitment of new clients
  • Maintaining an always-current awareness of policies and protocols
  • Daily communications among clients and other administrators


The ideal candidate has 

  • Built a client recruitment and retention strategy
  • Clinical Marketing experience such as social media and newsletters
  • Professional experience as a healthcare clinical administrator
  • Professional experience in an outpatient setting
  • Experience in mental healthcare
  • A strong sense of responsibility with a highly motivated & positive attitude
  • Completed or currently in the process of obtaining a Bachelor's Degree
  • An ability to convey sensitive information with tact
  • Excellent organizational & interpersonal skills
  • Experience with website builders (such as Squarespace)
  • High level of proficiency in all google softwares (drive, docs, gmail, google calendar, etc.) 
  • Proactive communication skills
  • Initiative and creativity
  • The ability to adapt quickly to change
  • The ability to thrive in a team environment


Terms of Employment:

This is a part time, fully remote, contracted position with pre-scheduled meetings. Offering up to 10 hours per week with competitive pay.

The candidate must be located on the west coast (PST local time).
