About the Role

We're seeking an experienced Virtual Executive Assistant who will provide overall support to the CEO. This dynamic position requires the ability to anticipate needs, think critically and problem solve with a high degree of professionalism and confidentiality.

What You’ll Do

  • Provide efficient administrative support to the CEO, which includes coordination, information gathering and preparation for all meetings and calls, calendar and schedule management, expense reports, documentation and reporting, travel arrangements
  • Draft and proof documents - emails, reports and presentations
  • Prioritize incoming and outgoing correspondence, ensuring timely responses or appropriate redirection
  • Maintain company files and records with utmost accuracy and confidentiality
  • Provide support for new team member onboarding and setup
  • Identify areas for improvement and implement effective administrative systems and processes
  • Anticipate needs with the ability to react quickly with the appropriate levels of urgency for each situation
  • Ad hoc special projects or other duties as needed

What You’ll Bring

  • Proven experience as a Virtual Executive Assistant or similar Administrative role
  • Strong written and verbal communication skills
  • Ability to multitask, prioritize and make hard decisions effectively with little to no guidance
  • Proficient in using various applications and tools such as Google Workspace and ClickUp
  • Exceptional project management skills with an impeccable eye for detail and the ability to deliver accurate work within given deadlines
  • Flexibility and adaptability to meet the needs of the business and changing priorities
  • Can maintain a high level of integrity when handling confidential information
  • A self-starter with a collaborative spirit
  • Ability to multitask and prioritize effectively with little to no guidance
  • Ability to work US time zone (PST hours overlap) and attend meetings regularly

This is a fully remote, full-time, independent contractor role.
