Site Budgets and Contracts Specialist

SummaryThe Site Budgets & Contracts Specialist provides technical and administrative support to the teams that are responsible for the global site budgeting and contracting activities. This role will support studies and projects across the portfolio.

Job Duties

  • Organizes and delivers analyzable reports and metrics
  • Schedules and coordinates meetings, helps prepare agendas, presentation material, and minutes for specified meetings
  • Ensures scheduled reports are received, complete, and accurate
  • Helps maintain functional reporting SharePoint folder and other SharePoint areas, as needed
  • Communication with vendors regarding updating reports, as needed
  • Manages, tracks, and monitors the electronic signature and contract management system uploading processes across the group
  • Participates in functional initiatives and proactively recommends process improvements
  • Assists Site Budgets Leads with investigator grants, site-facing budgets, budget escalation trackers, and other deliverables
  • Assist Site Contracts Leads with letters, contract amendments, and other documents
  • Develops and enhances relationships with internal and external stakeholders
  • Escalates to the Law Department and other stakeholder groups
  • Ensure that internal systems, folders, and reports are updated in a timely, accurate, and complete manner
  • Ability to handle a large volume of assignments, while effectively dealing with ambiguity

Requirements

  • Attention to detail and the ability to track information and deliver on assigned activities
  • Good communication and interpersonal skills; ability to build relationships internally and externally
  • Demonstrates the ability to proactively assess information and investigate the impact on deliverable timelines
  • Knowledge of site budget development and contract and budget negotiation practices
  • Ability to acquire working knowledge of contract management systems and Microsoft applications including (but not limited to) Project, PowerPoint, Word, Excel, and ICertis
  • Basic familiarity with clinical drug development
  • Bachelor's degree required
  • Minimum of 2 years direct experience with clinical site budgeting and contracting at a biopharmaceutical company or CRO
