The Marketing Events Coordinator will be responsible for planning, coordinating, and executing all external events to strengthen BotCity's brand awareness and presence. We seek a resourceful and detail-oriented professional, capable of working autonomously, with excellent communication skills, and focused on delighting the customer. This position will report to the Head of Marketing.

Responsibilities

  • Plan, coordinate, and execute all aspects of field and online events, delivering them on time, within budget and delighting the customer.
  • Coordinate pre-event promotion efforts, including email campaigns, social media posts, and targeted outreach to maximize event attendance and engagement.
  • Collaborate with internal and external stakeholders to ensure seamless event logistics, including venue selection, catering, and audiovisual setup.
  • Manage event budgets, negotiate contracts, and track expenses to ensure cost-effectiveness.
  • Measure and analyze the success of events through KPIs such as attendance, lead quality, and post-event surveys, and provide insights for future improvements.
  • Document planning and execution events processes through playbooks and checklists, incorporating best practices and lessons learned.

Required Qualifications

  • Bachelor's degree in marketing, communications, hospitality/event management, or a related field.
  • Demonstrated experience (3+ years) planning and delivering events for 500+ people as well as for small marketing events.
  • Excellent attention to detail and organizational skills, with the ability to manage multiple projects simultaneously and meet deadlines under pressure.
  • Strong written and verbal communication skills.
  • Experience working with Microsoft Office/Excel, Google Suite, Notion, Slack.
  • Experience with event management software and tools such as Luma and Simpla.
  • Ability to travel as needed and work flexible hours to support all events.
  • English - Advanced (Reading, Writing, Comprehension).

Preferred Qualifications

  • Experience organizing corporate events for technology companies in B2B segments.
  • Demonstrated experience in managing high-profile or VIP events.
  • Knowledge of emerging trends in event marketing and experiential marketing.
  • Prior experience in an early-stage, high-growth, and fast-paced startup environment or technology companies.
