Job OverviewThe Executive Assistant will provide direct support to a Managing Partner, playing a critical role in organizing, coordinating, and enhancing the executive’s workflow. The ideal candidate must thrive in a fast-paced setting, demonstrating outstanding organizational capabilities and a keen attention to detail. This role encompasses both professional and personal aspects of the Managing Partner's life, including meticulous management of complex schedules, coordination of meetings with stakeholders, and organization of travel plans. A high degree of professionalism and discretion is required, particularly in handling sensitive information.

Key Responsibilities

  • Schedule Management: Oversee the daily calendar, prioritizing appointments, meetings, and conference calls to ensure optimal preparation.
  • Travel Coordination: Arrange all aspects of travel, including flights, accommodations, and transportation, while managing related expenses.
  • Expense Management: Monitor expenses, prepare detailed reports, and facilitate reimbursement processes.
  • Meeting Coordination: Organize meetings and events, including agenda preparation, material compilation, and minute-taking as necessary.
  • Communication Management: Proactively address and prioritize various communications directed to the Managing Partner, assessing the appropriate course of action for each.
  • Document Preparation: Edit and format documents, including Microsoft Word and PowerPoint presentations, to uphold professional standards.
  • Electronic Filing: Maintain systematic electronic filing processes to streamline document management.
  • Project Management: Utilize Asana for enhancing efficiency, productivity, and accuracy in execution.
  • Confidentiality: Safeguard sensitive information with the utmost discretion and professional judgment.
  • Personal Support: Assist with personal tasks and errands to support the Managing Partner.
  • Additional Duties: Perform other responsibilities as assigned by the executive.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Adobe Software.
  • Quick typing skills and adeptness in document formatting.
  • Strong communication abilities, both written and verbal.
  • Proactive approach in anticipating needs and understanding organizational priorities.

Qualifications

  • A minimum of 5 years’ experience as an executive assistant to C-Suite executives in a high-performance environment is required.
  • Preferred candidates will have backgrounds in financial services, commercial real estate, or architecture.
  • A Bachelor's degree is highly preferred.
