Executive Assistant

The Role
We are looking for an Executive Assistant to join Palette as we continue to scale and provide top-notch administrative support to our Head of Talent and Co-Founder. As an Executive Assistant, you will play a critical role in ensuring our executive is set up for success to do their best work.
Responsibilities
- Proactively manage, assess, and predict the day-to-day needs of the Head of Talent and Co-Founder to ensure they are prepared and organized for all internal and external meetings and events
- Talent coordination supporting our roster of digital creators on their partnership and brand deals
- Seamlessly manage email coordination, calendar scheduling, travel, team meetups, expense reporting, and a wide variety of priorities for the leadership team
- Use sound judgment in setting work priorities, planning and organizing workload in the midst of interruptions and changing priorities
- Ghost write and correspond to emails sent on behalf of executive
- Project manage a variety of professional and personal initiatives through self-motivation, clear communication, and complete follow-through
- Effectively communicate between executives and various departments to ensure information flows smoothly and efficiently
- Assist with ad hoc projects as needed
- Help coordinate and organize team and industry events several times a year
Qualifications
- 3+ years of Executive Assistant experience with the ability to provide remote support, personal assisting experience a plus
- Passion for working in a fast-paced, everchanging environment
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines
- Hyper responsive and overly communicative
- Highly resourceful team-player with the ability to also be extremely effective independently
- Strong attention to detail and accuracy, ensuring all work is of high quality
- Exceptional communication and interpersonal skills, both written and verbal
- Experienced and highly capable in using productivity tools such as Google Suite, Slack, Trello, Front, and Notion.
- Ability to handle multiple tasks simultaneously while maintaining composure in a fast-paced environment
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion
