About the Role
We are hiring a highly skilled Automation and AI Integration Specialist to lead the transformation of internal operations and communication infrastructure within a fast-growing creative and live event organization.
This role is not just about implementing tools — it’s about engineering intelligent systems that match how a creative company actually works. You’ll work closely with cross-functional teams (strategy, project management, creative ops, and business affairs) to restructure workflows, design custom automation, and embed AI-driven solutions that remove bottlenecks, reduce manual tasks, and unlock executional speed across departments.

What You’ll Do
• Assess & Map Operational Workflows: Evaluate existing communication and task management structures. Identify inefficiencies, friction points, and high-value opportunities for automation or tool consolidation.
• Build Smart Systems (Not Just Tools): Design and deploy scalable dashboards, automated task pipelines, and integrated team platforms that simplify collaboration and reduce manual overhead.
• Drive AI Adoption Across Departments: Introduce and integrate AI tools for content generation, scheduling, transcription, contract templating, onboarding, and reporting.
• Architect the ‘Single Source of Truth’: Develop centralized hubs that align calendars, task boards, and SOPs across departments.
• Collaborate with Consulting & Strategy Leads: Interface with senior consultants and department heads to understand operational needs and align your system designs with broader restructuring goals.
• Ensure Security, Scalability & UX: Implement enterprise-grade access controls, backups, and permission management. Prioritize usability and adoption.
• Train Teams & Document Systems: Deliver training sessions, create SOP documentation, and provide support to ensure long-term integration and resilience.
What You Bring
• 3–7+ years of hands-on experience building automated workflows and implementing AI tools within growing companies
• Expertise in platforms like ClickUp, Notion, Airtable, Zapier, Make, and cloud ecosystems such as Google Workspace or Microsoft 365
• Ability to design systems around human behavior, not just technical specs
• Experience with business transformation, tech onboarding, or scaling startups
• Strong collaboration and communication skills, especially with non-technical teams
• Background in change management and cross-functional alignment is a major plus
Preferred (But Not Required)
• Experience in creative industries, live events, or production studios
• Familiarity with AI tools for operations (e.g., Read.ai, Claude, ChatGPT, automated SOP builders)
• Previous consulting or fractional CTO/COO experience
