The Legal Assistant plays a vital role in supporting immigration cases through a combination of administrative, clerical, and client communication tasks. This role involves gathering, organizing, and entering data; compiling case documents; creating formatted and paginated PDF files with tables of contents; and maintaining updated records. The Legal Assistant serves as a liaison between clients and attorneys, ensuring smooth communication and document flow while contributing to positive client outcomes. Primary Responsibilities:
· Communicate with clients to gather required personal details, documents, and supporting evidence for immigration cases.
·Draft and send evidence request lists to clients in Spanish via email and text; confirm accurate contact information before communication.
· Follow up with clients to obtain timely responses and required documents.
· Compile documentation into categorized sections (e.g., biographic data, tax records, proof of residence).
· Create document inserts and combine files into a single PDF with pagination and a detailed table of contents.
· Review and compare incoming documents with client-submitted information for accuracy.
· Enter and update client information and case data in relevant systems and databases.
· Backup, organize, and store digital records for quick and accurate retrieval.
· Inform attorneys or supervisors of any issues, errors, or delays.
· Maintain clear records of communication and document handling.
· Perform other administrative and virtual assistant duties as needed.
Basic Job Requirements:
· High school diploma required; some college preferred.
· Minimum 1 year of experience in a legal role.
· You are a fluent English and Spanish speaker.
· You are organized, detail-oriented and able to prioritize.
· Strong communication and interpersonal skills.
· Proficient in Microsoft products, SharePoint, Google Docs and Adobe Acrobat.
· You are positive, welcoming, and have a professional demeanor.
· You care about the rights of immigrants in the United States.
· You can follow directions and work within operational systems by following the training guidelines.
· You have a reliable internet connection.
· You are available Monday – Friday between the hours of 8:30 a.m. and 6:00 p.m. EST.
Preferred:
· Previous experience as a paralegal
· Fluency in Spanish and English
· Familiarity with INS Zoom
