Administrative Fleet Assistant - Remote (Pakistan)

About The Role

We are looking for an organised and detail-driven Administrative Fleet Assistant to support our UK Fleet function remotely from Pakistan. This is a fast-paced, data-led role focused on keeping our fleet systems accurate, monitoring open issues, and ensuring vehicles stay compliant, roadworthy, and operationally available.

You'll work closely with the Fleet Manager (UK) and collaborate with Operations Managers to track KPIs, manage incidents, and maintain strong fleet control through systems, trackers, and structured reporting.

Key Responsibilities (day-to-day)

Fleet administration & monitoring

  • Monitor vehicle assignment and ensure records are accurate (who has what vehicle, start/end dates, changes).
  • Track vehicle inspections and the quality/completeness of inspection reports, chasing gaps and re-work where required.
  • Monitor open issues and ensure they are logged correctly, prioritised, and progressing to resolution.

Maintenance & repairs coordination

  • Monitor and manage work orders: create/update status, ensure notes and evidence are uploaded, and follow up on delays.
  • Coordinate and monitor mechanic schedules and workshop capacity in line with operational needs.
  • Track repair turnaround times and escalate risks to vehicle availability.

Telematics & compliance

  • Monitor vehicle GPS trackers and telematics alerts where applicable (missing trackers, offline devices, anomalies).
  • Support basic compliance tracking (documentation, service intervals, inspection schedules) and flag upcoming risks.

Cost control & performance

  • Monitor fuel card expenditure, identify anomalies, and produce weekly summaries for review.
  • Support KPI reporting and discuss fleet KPIs with Operations Managers (availability, downtime, defects, maintenance backlog, cost per vehicle).

Incidents & claims

  • Manage parking fines/PCNs administration: logging, evidence collection, driver information, appeals support, and status updates.
  • Support accident claims administration: collecting documents/photos/driver statements, tracking case progress, and maintaining clean audit trails

Requirements

What we're looking for (requirements)

  • Experience in an admin/coordination role (fleet, logistics, operations support, transport admin, or similar).
  • Strong organisational skills and attention to detail—confident managing many tasks and statuses at once.
  • Confident using spreadsheets and tools: Excel / Google Sheets, cloud drive, and operational systems.
  • Comfortable working with KPIs, trackers, and reporting (daily/weekly cadence).
  • Strong communication skills in English (written and spoken) to work with UK-based stakeholders.
  • Calm under pressure, reliable, proactive, and able to follow through.
  • Stable internet connection and a professional remote working setup.

Nice to have

  • Previous experience with fleet tools (e.g., Fleetio or similar), telematics/GPS platforms, or maintenance/work order systems.
  • Knowledge of UK parking fines/PCNs, accident workflows, insurance claims, or basic fleet compliance.
  • Experience supporting multi-site operations with time-sensitive priorities.

  • Fleet records are clean and always up to date.
  • Inspections are completed properly, issues are tracked, and nothing "falls through the cracks".
  • Maintenance backlog is controlled and escalations happen early.
  • Fuel and incident costs are monitored with clear, actionable reporting
